Position Summary

Accra College of Medicine (ACM) is seeking a Front Desk Officer (Receptionist / Administrative Support) who will serve as the first point of contact for students, staff, visitors, and contractors. The role involves managing the reception area, handling enquiries, and providing administrative and clerical support to ensure efficient college operations.

Responsibilities:

  1. Reception Service: Provide a welcoming, courteous, and efficient reception service for students, visitors, and contractors.
  2. Reception Area Management: Maintain a welcoming, attractive, and comfortable reception area, making necessary arrangements to meet individual needs.
  3. Operational Readiness: Ensure the reception is ready for business promptly at 8:00 a.m. each morning.
  4. Enquiry Handling: Respond to enquiries, direct individuals to appropriate locations, and efficiently pass on enquiries to the relevant person.
  5. Mail and Parcel Management: Accept, sign for, and distribute parcels and mail in a timely manner.
  6. Clerical Duties: Perform basic bookkeeping, filing, and other clerical duties.
  7. Information Distribution: Manage the distribution of forms, leaflets, and information to students, staff, and visitors.
  8. Attendance Management: Manage and record student attendance sheets and maintain attendance data.
  9. Administrative Assistance: Assist the administration and faculty with typing, filing, and scanning tasks.
  10. Record Keeping: Maintain up-to-date records of students during application/admission periods and manage visitorsโ€™ log and attendance sheets.
  11. Office Equipment Management: Operate and manage the maintenance of standard office equipment like photocopiers.
  12. Document Management: Scan, photocopy, and print documents for staff and students, and distribute incoming mail appropriately.
  13. Courier Services: Arrange courier services as required.
  14. Policy Implementation: Assist with implementing college policies, such as the attendance tracking system, and manage relevant data input and reporting.
  15. Professional Standards: Maintain high standards of confidentiality, discretion, dress, and professional behaviour.
  16. Administrative Support: Carry out various administrative tasks to support campus operations and produce necessary reports.
  17. Examination Support: Serve as an invigilator during examinations as required.
  18. Additional Responsibilities: Perform other duties as assigned by the college administration.

Qualifications & Requirements

  • Education: Minimum Higher National Diploma (HND) in Administration (essential); Bachelorโ€™s degree preferred.
  • Experience: Previous experience in a receptionist or administrative support role, preferably in an academic or educational setting.
  • Skills:
    • Excellent communication and interpersonal skills.
    • Strong organizational and multitasking abilities.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and standard office equipment.
    • Ability to work independently and manage competing priorities.
  • Attributes: High level of discretion, confidentiality, professionalism, and customer service orientation.

Work Conditions:

  • Standard office hours, with flexibility required to support events, examinations, and other institutional needs.
